Job Title: Senior Accounting Manager

The Senior Accounting Manager leads day-to-day accounting, billing, close, compliance, and reporting for a growing IT services business. This hands-on role uses QuickBooks extensively, supervises two invoicing staff, and supports multi-state U.S. operations.
Responsibilities
- Manage general ledger, accounts receivable, accounts payable, bank reconciliations, credit card reconciliations, and routine accounting in QuickBooks.
- Own the month-end close, including reconciliations, accruals, prepaids, payroll entries, depreciation, amortization, adjusting entries, and reclassifications.
- Maintain fixed asset schedules and record depreciation and amortization accurately.
- Prepare monthly and quarterly Profit & Loss and Balance Sheet reports, supporting schedules, and variance explanations for management review.
- Prepare cash flow projections and monitor liquidity, timing of inflows/outflows, and cash risks.
- Ensure payroll is posted accurately to QuickBooks and reconcile payroll-related accounts regularly.
- Coordinate Federal and State income tax reporting and reconciliations with outside advisors.
- Oversee customer billing for Time & Materials, fixed-fee, and milestone-based work; review contracts, rates, timesheets, milestones, and billing support for accuracy.
- Perform customer and vendor reconciliations and resolve discrepancies in balances, invoices, credits, and payments.
- Monitor unbilled revenue, AR aging, collections, and billing disputes, and escalate issues as needed.
- Supervise two invoicing staff, assign work, review output, train team members, and improve billing accuracy and process flow.
- Maintain business licenses, insurance records, and renewal schedules, and manage multi-state compliance for current operations in California, North Carolina, Texas, and Arkansas.
- Develop and maintain accounting policies and internal controls across billing, cash, payroll, and compliance, and review them periodically for effectiveness.
- Conduct annual internal audits of billing and revenue processes to identify control gaps and prevent revenue leakage.
- Coordinate with payroll providers, brokers, registered agents, external accountants, and tax advisors as needed.
Qualifications
- Bachelor’s degree in Accounting, Finance, or related field preferred.
- 5+ years of accounting experience in a small or mid-sized business, preferably in IT or professional services.
- Strong QuickBooks and Excel skills.
- Experience with close, reconciliations, payroll postings, billing, compliance, and reporting.
- Experience supervising billing or accounting support staff preferred.
- Strong attention to detail, organization, and follow-through.
